The Countrylife Guide to AI – Update January 2026
Welcome, Team! This is your simple guide to using our new AI tools at The Countrylife. They’re here to make your jobs easier—quick answers, alerts, and checks without asking Casey every time. We’re starting basic, but exciting changes are happening right now.
Everything works on your phone browser (Chrome or Safari). Bookmark the pages for fast access. Use the microphone button to speak instead of typing.
If anything doesn’t work or looks wrong, take a screenshot and send it to Casey on WhatsApp—he’ll fix it straight away.
1. Main AI Helper: LunAI Chat on Our Website
This chat knows everything about our glamping site—units, hot tubs, rules, prices, guest questions, and more.
How to use it:
- Open your phone browser → go to thecountrylife.co.uk
- Tap the chat bubble (bottom-right corner).
- Type or speak your question.
- For the best answers about our business, add #team or #task (example: “#team How do I clean the hot tub?”)
Useful examples:
- Ramilyn: “#team Standard welcome message for new booking?” or “#team Check-in time for Bullington units?”
- Rosie / Paula’s team: “#team How to check hot tub temperature?” or “#team Mud warning message for Dome 3?”
- Ollie / Adam: “#team How to fix low hot tub temperature?” or “#team What to do if heater delayed?”
The AI will give you the exact answer we use every time.
2. Guest Ready Check Form (Cleaning Checks)
Rosie and Paula’s cleaning team – please fill this in every time you finish cleaning a unit.
Link: Guest Ready Check Form
How to do it:
- Tap the link (bookmark it!).
- Choose the unit.
- Add your name.
- Take clear photos of: bed made, floors, hot tub, bathroom, kitchenette, windows.
- Add any notes (e.g., “mud on path”).
- Submit.
Casey gets alerts if anything needs fixing.
3. Check Site Form (On-Site Checks – Rosie & Casey)
Rosie and Casey – use this when you are on site (especially Mondays and Fridays or any time you’re checking the site).
Link: Check Site Form
How to do it:
- Tap the link (bookmark it!).
- Choose the unit / area.
- Add notes, photos, or checks.
- Submit.
We will move this to full AI checks shortly.
4. Maintenance Lists (Ollie & Adam)
Ollie and Adam – keep using your usual app/process for maintenance and hot tub checklists for now. We will move to AI and sensor checks shortly (similar to the cleaning form).
5. Home Assistant Quick Checks (Hot Tubs & Sensors)
This shows live temperature, leaks, and who’s on site.
Casey will send you the direct link – bookmark it.
What to look for:
- Green = everything good
- Orange/Red = problem (e.g., low hot tub temperature)
Ollie and Adam: Check this before and after working on hot tubs (you both have similar maintenance, labouring, and hot tub roles). If red, fix it and note what you did.
6. Big News: AI Updates This Week
- AI Emails Are Live Starting today, the AI may reach out to some team members (via email) around 1 PM asking about your tasks and hours for the day. Just reply normally – it uses your answers to prepare a daily report for Casey. Very soon this will move to WhatsApp too (easier on phones).
- Even Smarter AI Starts Monday From Monday, the AI will start understanding business issues on its own and creating solutions. When it can’t solve something alone, it will reach out to the right person for help.
7. Ollie To-Do List – Sensor Checks (Help the AI Get Smarter)
To make the AI really clever, we need as many sensors working as possible. Today’s priorities (please check/fix when you’re on site):
- Hot tub temperature sensors working in D1 and D2
- Alexa Echo switched on in every unit
- Firestick switched on in every unit
- All CCTV cameras up and running
- Second camera still needs putting up near the plug point (probably near P1)
- Contact sensors installed on doors/gates
- Radar sensor – Ollie is installing tomorrow (Friday)
If you spot anything off, fix it if you can or WhatsApp Casey a quick photo/note.
8. Your Daily Routine
Around 1 PM:
- If you get an AI email, reply with your tasks/hours.
During the day:
- Use LunAI chat instead of asking Casey for standard answers.
- Rosie / Paula’s team: Submit Guest Ready Check Form after every clean.
- Rosie / Casey on site: Submit Check Site Form.
- Ollie / Adam: Keep using your usual checklists for now.
End of day:
- If you fixed something, note it in WhatsApp or your usual way.
Thank you for helping make The Countrylife even better – we’re getting closer to proper hands-off running! You’re all stars✨
